How to configure the recurring reservation period limit?

This article explains how to limit how far into the future recurring meeting room reservations can be made, in order to prevent long-term overbookings.

Steps to follow

  1. Log in to Deskare as an administrator.

  2. Go to Settings, then Meeting Rooms.

  3. Select a room from the list.

  4. Under the room name, enter the maximum number of days into the future a recurring reservation can be placed (e.g., 30 days).

  5. Save your changes.

  • This limit is particularly useful for highly requested rooms, preventing a single recurring meeting from blocking a time slot for months.

  • Adapt the limit to usage: 30 days for high-demand rooms, and a longer period for less frequently used spaces.

  • Communicate the policy to your teams to prevent any frustration.


Frequently asked questions

  • Does this limit also work on Google? On the Google side, automatic restriction is not applicable. This setting applies exclusively to reservations made via Outlook.

  • What does the user see when they exceed the limit? An error message appears during creation, and the reservation is blocked. Depending on the Outlook synchronization timing, the event might be briefly created and then cancelled shortly after.
