How to Create a Recurring Room Reservation ?

This article explains how to reserve a meeting room across multiple occurrences (e.g., weekly or monthly meetings) directly within the Deskare interface.

Steps to follow

  1. Initiate a new room reservation within Deskare.

  2. Enter the meeting title, invitees, date, and time.

  3. Enable the Recurrence option.

  4. Select the desired recurrence pattern:

    • Daily

    • Weekly (by designated day of the week)

    • Monthly (by a fixed date or specific weekday, such as the first Wednesday of the month)

  5. Define the end criteria: either a specific end date or a set number of occurrences (e.g., 4 occurrences for a project sprint).

  6. Confirm and finalize the reservation.


💡 Best Practices

  • Please verify the maximum advance booking window authorized by your administrator (the period limit configured for Outlook).

  • To modify an isolated instance, navigate directly to that specific occurrence to edit it.

  • To delete a recurring series, three options are available: cancel this occurrence only, cancel this occurrence and all subsequent ones, or cancel the entire recurring series.


Frequently asked questions

  • Is recurrence supported without Google or Outlook synchronization? No. Recurring meetings strictly require active synchronization with either Google Calendar or Outlook.

  • Can I update the schedule for an entire recurring series simultaneously? Not currently. You must modify each occurrence individually. This capability is part of our upcoming product roadmap.

  • What happens if I exceed the period limit established by my administrator? In Outlook, the reservation will be blocked and an error message will be displayed. For Google Calendar users, this limitation is technically inapplicable.

  • Can an administrator or another user delete my recurring series? An administrator has the authority to release an isolated occurrence, but cannot delete the series in its entirety. Control of the recurring series remains exclusive to the original organizer.
