How to Modify a Meeting Room Reservation ?

This article explains how to adjust an existing room reservation (including schedules, duration, participants, and description) without needing to cancel and recreate it.

Steps to follow

  1. Open Deskare and navigate to the Meeting Rooms section.

  2. Click on the specific reservation you wish to modify.

  3. Reschedule or extend the time slot directly within the interface.

  4. Update the participants or change the room if necessary (Deskare will automatically suggest alternative rooms if the meeting size changes).

  5. Modify the description field using the rich text editor (supporting bold, italics, and lists).

  6. Save your changes to update the reservation.


💡 Best Practices

  • Even after clicking Book, you can still adjust the duration of the time slot without having to restart the entire process.

  • If multiple participants switch to remote work, utilize the automatic recommendation feature to exchange a large room for a smaller one, freeing up valuable space.

  • Verify the automated notifications sent to participants following any structural modification to the meeting.

  • Why am I unable to modify my reservation? If the room was originally booked directly from another user's personal calendar (via Google or Outlook), Deskare cannot modify it. A red warning message will indicate that the modification must be completed within the native source calendar application.

  • Are my invitees notified of these modifications? Yes, an automated notification is dispatched via Google Calendar or Outlook, depending on your active calendar integration.

  • Can I change the meeting room exclusively without altering the schedule? Yes. All fields are independent, allowing you to swap rooms while maintaining the original date and time.
