How to configure a meeting room reminder?

This article explains the steps to set up a reminder for meeting room bookings.

Deskare allows you to configure a reminder that can significantly reduce no-show bookings for meeting rooms.

ℹ️ This feature is only available if the “Meeting Room” module has been activated by your company. If it hasn’t been enabled yet and you’d like to use it, please contact your administrator — we’ll be happy to activate it on request.

To set up the reminder:

  • Go to your Admin Space

  • Navigate to Settings, then to the Meeting Rooms section

  • For each relevant room, click on its name

  • In the Confirmation Message section, define:

    • Whether the reminder should be sent

    • How many minutes before the meeting it should be sent

  • Don’t forget to click Save to apply your settings

The reminder will be sent in the user’s preferred language, via MS Teams, Slack, Google Chat, or email, depending on the integrations activated.

💡 Best practices

Reminders are especially effective when sent well in advance of the meeting.

They allow unused rooms to be freed in time and reassigned to other colleagues.

👉 We recommend setting the reminder to be sent at least 30 minutes before the meeting starts.

✋ Frequently asked questions

  • If the employee ignores the reminder, the meeting room reservation will not be cancelled — it’s just a notification.

  • The reminder will be sent via MS Teams, Slack, Google Chat, or email, based on the integrations enabled by the user.

  • Each user can unsubscribe from these reminders in their personal settings if they wish.

  • If a user books the room via MS Outlook or Google Calendar (instead of directly through Deskare), they will still receive the reminder.
