✅ Steps to follow

1. Understand the difference:

  • Desks: reservation of a specific, numbered desk (image #1)

  • Villages: reservation of a spot in a shared area without a specific desk assigned (image #2)

2. Identify user needs:

  • Need for precision (e.g. assigned equipment, specific people) → desks

  • Need for flexibility, team dynamics → villages

3. Decide on desired granularity:

  • If you want detailed bookings and visibility on “who sits where” → go for desks

  • If you want easier setup and flexible visibility → go for villages

4. Set up in Deskare:

  • As an admin, go to Settings > Workplaces

  • Create a site, then define zones

  • Import a floor plan for each zone

  • Place either villages or individual desks

  • Configure access, colors, sizes, etc.

5. Test and gather feedback:

  • Start with a pilot configuration

  • Gather user feedback and adjust accordingly

💡 Best practices

  • Use colors and labels to help users read maps easily

  • Villages can be any shape, including non-rectangular

  • Resize elements for clarity and usability

  • Keep it simple: complex setup means more complexity to explain

✋ Frequently asked questions

  • Can I mix zones and desks on the same floor?
Yes, but they must be in two distinct areas. You cannot place desks and villages side-by-side within the same zone.

  • How do I restrict certain zones to specific teams?
Use the plan editor to restrict access to villages or desks by team.
