I’m moving: how to manage a site transition in Deskare?

  1. Create the new site

  • Go to Settings > Workplace in the admin space

  • Click “New office”

  • Fill in:

    • Total capacity

    • Time zone

    • Check-in confirmation (enabled or not)

  • Then set up zones:

    • Define individual capacities

    • Upload a floor plan (PNG or JPEG)

    • Click “Edit plan” to place:

      • Workstations

      • Villages

      • Meeting rooms

    • Configure each item: name, color, accessibility, labels, restrictions (by teams and/or users)

2. Temporarily block the new site

  • Add a reservation restriction until the move-in date

  • This lets users see the site but prevents booking

3. Block the old site at closure date

  • Add a restriction effective from the last day of use

4. Remove or disable the old site

  • Once the transition is complete, either disable or delete it

5. Communicate clearly

  • Create an event to announce the move-in date

  • Publish a visible announcement explaining the process

  • Share all important dates and encourage updating favorites
